TraceNex Privacy Policy

TraceNex ("the App") is operated by SSP Infotech on behalf of Eco Green Labs
India Pvt Ltd for internal sample collection, tracking, and reporting.
This policy explains what information the App collects, how it is used,
and who can see it.
Who this applies to
The App is used by two kinds of accounts: Samplers (lab staff
who collect physical samples in the field) and Customers
(clients who submit samples for testing and view their results). Accounts
are created by Eco Green Labs administrators — the App does not have public
self-signup.
Information we collect
- Account information — name, email address, phone number, and company name, provided when your account is created.
- Location data — Sampler accounts only. When collecting a sample, the App reads your device's GPS location to record where the sample was taken. This is used solely to timestamp and geo-tag the sample record and is not collected in the background or outside of that action.
- Camera and photos — Sampler accounts only. Photos taken of a sample are geo-tagged (location, date/time, and the sampler's name are visibly stamped onto the image) and uploaded as part of that sample's record. Photos are stored to document sample condition and chain of custody.
- Sample and order data — details you or your lab enter about a sample (product type, quantity, location, remarks, test results).
- Push notification token — used to notify you of status changes on your samples (e.g. "sample received," "report ready"). Provided via Firebase Cloud Messaging.
- Issue reports — Customer accounts only. If you report a problem with a sample, we store the sample reference and the description you write, so your lab's branch management can follow up.
How we use this information
- To operate the core function of the App: recording, tracking, and reporting on lab samples.
- To notify you of updates to samples you are involved with.
- To generate test reports (PDF) for completed samples.
We do not sell your data, and we do not use it for advertising or share it with third parties for their own marketing purposes.
Who can see your data
Sample data is only visible to the Sampler who collected it, the Customer
it belongs to, and authorized Eco Green Labs staff (lab technicians,
branch administrators) involved in processing that sample. Access is
enforced by account role — a Customer can only see their own samples;
a Sampler can only see samples assigned to them. Issue reports you submit
are visible to your branch's CEO/administrator and to Eco Green Labs'
super admin, so they can follow up.
Data storage
Data is stored on secure cloud infrastructure (Supabase/PostgreSQL for
records, Supabase Storage for photos). Data is retained for as long as
your account is active and as required for lab record-keeping and
regulatory compliance.
Your choices
- Location and camera permissions can be denied or revoked at any time in your device settings — sample collection features that depend on them simply won't be available.
- You can request a copy of your data, or request account deactivation, by contacting us below.
Children's privacy
The App is intended for use by lab and business personnel and is not directed at children under 13.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
